How Wilmot AI Ltd collects, uses, stores and protects personal data for visitors, prospects and clients.
Last updated: 2 June 2026
1. Who we are
Wilmot AI Ltd provides managed digital marketing services for UK small and medium-sized businesses. For UK GDPR purposes, we are the controller for personal data collected through this website, audit forms, sales conversations, onboarding and client service delivery.
2. What data we collect
We may collect your name, job title, business name, email address, phone number, website address, company information, billing details, messages, support requests and any information you choose to give us when asking for an audit or becoming a client.
When we work on your account, we may also process marketing information such as website analytics, campaign performance, search terms, landing page data, CRM or lead data, ad account settings, tracking tags and reporting exports.
Our website may collect technical data such as IP address, browser type, device type, pages visited, referral source and cookie preferences.
3. Why we use your data
We use data to respond to enquiries, prepare audits, provide Google Ads, SEO, web design, reporting and marketing support, manage client relationships, issue invoices, protect our systems, improve our service and comply with legal duties.
4. Client account access and credentials
Some services require access to client platforms such as Google Ads, Google Analytics, Google Search Console, website hosting, CMS tools, CRM systems, email platforms or payment and reporting tools. We ask for the minimum access needed for the work.
Where possible, clients should grant user or partner access rather than sharing passwords. If credentials are temporarily shared with us, we handle them confidentially, restrict them to people or systems that need them, and recommend rotating or removing access when the work ends.
5. AI tool usage
Wilmot uses AI tools to support research, copy drafting, reporting, analysis, task automation and digital marketing workflows. AI outputs are treated as assistance, not as final professional judgement. We review and edit outputs before using them in client work where appropriate.
We avoid entering unnecessary personal data into AI tools. Where AI providers process data for us, they act as suppliers or processors and are expected to apply security controls suitable for business use.
6. Storage and protection
We store data in trusted business systems such as hosting, analytics, email, project management, billing and AI infrastructure services. We use reasonable technical and organisational measures, including access controls, limited permissions and secure cloud services, to protect data from unauthorised access, loss or misuse.
No online service can be guaranteed completely secure, but we take practical steps to keep data protected and to limit access to people and tools that need it.
7. Sharing data
We do not sell personal data. We may share limited data with suppliers that help us run the website, deliver marketing work, process payments, manage communications, analyse performance, provide AI infrastructure, store files or meet legal and accounting obligations.
8. How long we keep data
We keep data only for as long as needed for the reason it was collected, including client delivery, accounting, legal, security and dispute purposes. Enquiry and audit data may be kept for follow-up and record keeping unless you ask us to delete it and we have no legal reason to retain it.
9. Your rights
You can ask to access, correct, delete, restrict or transfer your personal data. You can also object to certain processing or withdraw consent where consent is the basis for processing. Email privacy@wilmot.ai to make a request.
10. Cookies
We use cookies and similar technologies for essential site functions, preferences, analytics and marketing measurement. More detail is available in our Cookie Policy.
11. Complaints
If you are unhappy with how we handle your data, contact us first and we will try to resolve it. You can also complain to the UK Information Commissioner's Office.
12. Contact
